1) Introduction

Every process in Unifize has one or more records. In each record’s chatroom header, the Status tab shows the current stage of the record and lets you move the work forward accordingly.

What appears in the Status menu and whether and under what conditions an option can be clicked is controlled by your admin using Status Conditions. Conditions use a base state (a checklist field in the process or another chatroom field such as Owner, Due date, Status, or User (Current user)), evaluate it with a qualifier, and then apply a behavior so a status option is shown, hidden, or disabled until the requirement is met.


2) Feature functionalities

  • You can see only the status options that apply to you right now. Options that don’t apply to you may be hidden or disabled.

  • You can encounter options that are visible but disabled with a tooltip text for your reference. Follow the tooltip instructions to enable that particular status.

  • You can enable options that are restricted to specific members. Some steps become available only when you are the creator or you are the owner of the record.

  • You can make an option appear by completing required checklist fields, selecting a needed Picklist value, or linking the required Linked Record - once the rule is satisfied, the option shows up or becomes clickable.

  • You can work with due-date–sensitive status. Some options stay disabled or hidden until a Due date is set (or until it’s overdue, depending on configuration).

  • You can expect approval-gated steps; certain options won’t unlock until an Approval is in the required state.

  • You can satisfy multiple prerequisites when they exist; if more than one requirement is configured, all of them must be met before the option becomes available.

  • If you don’t see an expected option, it is likely configured to stay hidden until requirements are met or it isn’t used in this process.


3) User journey

This is how you can interact with the Status Conditions functionalities:

  1. Open any record and click Status tab in the chatroom header. You will see only the options that are configured for your roles and permissions by your admin.

  2. If an option is visible and enabled, you can select that status.

  3. Upon selecting any status, you will see a comment box in which you can add the reason or additional comments that you want to reference with your status. Since this is optional, you can also skip this option.

  4. If an option is disabled, you can hover over that option to read the tooltip text, which can help you get a reference for why that status is disabled. Complete the requirement it mentions (for example, set Owner or fill Due date) to enable that particular status.

  5. Some options may be shown only to specific users (for example, owners or creators of the record). If you don’t see an expected option, it may be hidden until its rule is satisfied or it isn’t used in this process.

  6. Once, you select and submit your chosen status, the record's status should reflect the updated status.


4) Best practices

  • Choose the option that best reflects the record’s actual stage. While changing a status, it's best to add a short comment to keep everyone else informed as to why this status change was made.

  • Use the tooltip on disabled options to complete the prerequisite (Owner, Due date, Approval, etc.) instead of guessing.

  • Expect differences across processes: names, visibility, and when options unlock are configured per process.

  • If an expected option isn’t visible after you’ve completed the prerequisites you can see, check with the record Owner or your admin.
