Chatroom Notification

What are chatroom notifications?

Whenever you create or open a record in Unifize, you’ll see a chatroom for that record. This chatroom not only holds conversations but also shows notifications—automatic updates about what’s happening in that record.

Notifications keep everyone on the same page by showing changes to fields, files, approvals, or forms, without you needing to refresh.

Real-time updates

Changes made by you or teammates appear instantly.

Keep the chatroom open to follow progress without refreshing.

Collapsed updates

Most system updates (like checklist changes) are collapsed.

Click the arrow to expand if you need details.

Approvals & emails (always expanded)

Approvals and emails are always visible.

Use them to act quickly—approve/reject or open the full email.

Grouped notifications

Multiple updates by the same person within 10 minutes are grouped.

How to work with notifications

  1. Scan quickly: Most notifications are collapsed so you can focus on the conversation.

  2. Expand when needed: Click arrows beside updates to see details.

  3. Check approvals immediately: These stay expanded and are color-coded for clarity.

  4. Use the Audit Trail:

    • Click “View all updates – Audit trail” to open notifications for a day.

    • Use the Audit Trail button (top of chatroom) to expand or collapse all updates.

  5. Stay tidy: Name forms and files clearly so collapsed entries are easy to identify.

Quick tips

  • Notifications are personalized: expanding or collapsing does not affect what others see.

  • Grouped updates make feeds shorter—if you need to check individual edits, expand them.

  • Use notifications as your audit trail: every change is time-stamped and attributed to a user.
